The Rockwood Leadership Institute seeks a Finance and Administration Manager

The Rockwood Leadership Institute seeks a Finance and Administration Manager to carry out or coordinate all financial, administrative, human-resource and information-technology functions of the organization. Rockwood was founded in 2000 to promote social change by providing individuals, organizations, and issue sectors with powerful and effective training in leadership and collaboration. Rockwood recently “graduated” its 2,250th alumnus, making it the nation’s largest provider of multi-day, transformative leadership trainings to the progressive nonprofit communities. It is based in Berkeley, California, and has a budget of approximately $1.5 million.

Responsibilities:
Finance and Administration
- Carry out all bookkeeping for the organization, including accounts payable and accounts receivable and maintenance of all appropriate files;
- Oversee cash-flow planning to match availability of funds with needs;
- Oversee payroll (with contract payroll service) and track vacation and sick time for staff;
- Carry out monthly and annual closing of accounting records, including accrual journal entries and reconciliation of balance-sheet accounts;
- Prepare timely and accurate financial and management reports for management team, board of directors, and supporting foundations;
- Manage audits and proper filing of tax returns in conjunction with outside accountant/auditor;
- Assure compliance with all legal, regulatory, and partnership requirements;
- Assure compliance with all grant restrictions and proper tracking of restricted net assets;
- Maintain, improve, and document internal-control systems;
- Take leadership over the annual budget process as well as interim revisions;
- Monitor contracts with trainers, training sites, and other vendors;
- Coordinate office systems and facilities.

Human Resources
In conjunction with the Associate Director:
- Maintain personnel files and personnel directory;
- Assure complete and accurate documentation of all policies and procedures related to personnel;
- Coordinate and manage all benefits, including health, dental, disability, life insurance, 401(k) retirement plan, commuter checks, and workers compensation;
- Facilitate the recruitment, screening and hiring of new employees;
- Oversee contractual agreements and temporary hiring;
- Maintain liability, property, and D&O insurance;
- Orient new employees to all benefits and systems.

(Preferred) Technical and Information Systems:
- Take primary responsibility for establishment and maintenance of all information technology;
- Take leadership over long-term technology planning;
- Manage technical support vendors and third-party service providers;
- Provide basic computer, email, printer, and network support to staff (in consultation with an information-technology professional)
- Administer accounts, passwords, and permissions related to web services, email, and the local area network.
